Registration and Set Up
All presenters (students) must complete this step. This will allow you to view all sessions as an attendee and interact with the conference when you are not presenting. You must complete this step in order to be listed as a member of your team's booth. Take time to update your profile, upload a headshot, and check out other sessions.
Registration
- Visit the site below
- Register for a "Presenter (Student)" ticket
- Only use your @osu.edu email address
One person from your team, the team Contact Person will create a shared booth account at boomset.com/signup. Complete this step before proceeding to step 3. Your entire team will share this account to sign in to edit your booth. This does not need to be an @osu.edu email address.
NOTE: This step does not register you for the event.
* Tip: Remember to select your country code from the drop-down menu to the left of the phone number field.
One member of your team will be the Contact Person. This person will receive an invitation from reservations@boomset.com to activate your team's virtual booth.
Please complete the virtual booth set-up from a computer if possible. It is not recommended to complete the set-up process using a mobile device.
- On a computer, the Contact person will open the email invitation from reservations@boomset.com. Select "Click here to begin"
- Don't see an email from Boomset? Check your spam folder.
- The Contact Person will be directed to the Boomset website with the following prompt:
You already created a shared Boomset account so, you may choose the "Link to Boomset Account" option to link the license to your existing accounts. Do not select the "Continue as a guest" option. -
You will be re-directed to the booth dashboard.

Next, forward the invitation email from Boomset with your team. The "Click here to begin" button is now your team's unique sign-in URL.

Note: You may only want to have one person make the configuration edits at a time. You can screen share with the rest of the group over a private Zoom session as not to override each other's work.

Adding Team Members.
Only one member, the Contact Person, of your team was able to activate your booth. Now it is time to add your team to your booth directory!
- STEPS 1-3 must be complete before your team can continue.
- The Contact Person will log into the booth using the link in the invitation email and the password they set up for the shared booth account.
- Once signed into the booth, go to "Virtual Booth" > "Settings" > and toggle on "Presentations" and "Staff"
- The Contact Person will email eng-eed-communications@osu.edu and let them know that your team members are ready to be added to your booth's staff directory. Please allow a minimum of 3 business hours for the request to be completed. Please include your team name in the subject line.
Continue to "STEP 5 | Configure your booth" while you wait for the request to be complete.
Note: A person can only be displayed as "Staff" on one booth. If you are on multiple projects, please coordinate with your Contact Persons to determine which booth you would like to be listed under. Contact the event organizer for further assistance.
You will only use the shared Boomset account to edit the contents of your booth.

This section will give you key guidelines for configuring and customizing your virtual booth. Within your booth, there are several areas for your team to add custom text, images, video, and documents.
Once the Contact Person has activated your booth and has added you as a staff member of the booth, members of the booth may customize their presentation.
Virtual Booth Settings
Each booth will have toggle switches to enable and disable various tabs within your booth. All teams must switch on the following tabs:
- Presentations
- Staff
- Resources
Branding
All presentations must use Ohio State branding.
To edit the look and contents of your booth, log into your shared booth account by clicking the "Click here to begin" button in the invitation email. Navigate to your booth. Go to "Manage" and then under the "Virtual" section on the left, select "Settings".
Logo/ Cover Photo/ Photo Gallery
Logo image: All teams shall use the default logo which is available for download here.
Cover photo: JPG, JPEG, PNG images. Cover image size must be 1110x420. Image should be less than 1MB in size.
Photo gallery: JPG, JPEG, PNG or SVG images. The image resolution must be less than 15MB in size. Limit of 50.
NOTE: The system will let you upload any photo dimension but will require you to crop the image to the dimensions for logo (400x400) or cover image (1110x420). It is recommended you upload images that are already formatted to the specified dimensions to avoid cropping.
About section
Plaintext or basic HTML description of your project.
Videos
URL link or embed code (no video upload). Limit of 50 files.
An external link will take the attendee to the link you've provided, whereas embed code will allow the attendee to view the video directly in the virtual booth. Embed code is generally found in the "Share" option of your video source platform. You may also upload a thumbnail for these videos that will be displayed as still images in the gallery.
If using a video uploaded to YouTube, be sure the video is set to "Public" or "Unlisted". Other configurations in YouTube such as "Hidden", "Unpublished" or "Private" will not be able to play for guests.
If you are including videos in your booth display, be sure to toggle the tab visibility to "On" in your booth settings.
Video thumbnails: JPG, JPEG, or PNG images. The image resolution must be less than 15MB in size.

This is where you can put a copy of your poster presentation, slides, and any handouts/flyers or other materials related to your project. Please note, attendees are able to download these resource materials, so only upload resources that are meant to be shared publicly.
You may upload any combination of the following document types as downloadable resources for attendees.
.png, .jpg, .jpeg, .svg, .pdf, .doc, .docx, .xls, .xlsx
The file size can be max 15MB. Limit of 50 files.

Presentation | Practicing and Live Presentation
Practice/ rehearsal
- Log in as an attendee at https://virtual.boomset.com/event-login/113935
- Use your individual ticket information, NOT your shared booth account log in.
- Navigate to “Live Sessions” and select “My Schedule”
- Click on your assigned session (it will have an orange microphone icon and say "You're a speaker to this session"
- Rehearsal will remain open until your session start time. Once the session start time begins, any attendee can enter your session and see what is being shared on screen/camera.
Use Google Chrome or Microsoft Edge when presenting for best results.

To troubleshoot setup issues, the event organizer will have two blocks of time reserved for drop-in video support assistance. You will be required to sign-in using your Ohio State credentials.
